How to prepare and send a document for online signing

Prepare the final version, check signers, choose delivery channels and track the document through completion.

Keep a small detail from starting another round

Before sending, check that the document contains the approved version of the agreement. Review names, amounts, dates, attachments and obligations. Blank fields or outdated details create questions for the recipient and may require another signing round.

This matters for a personal agreement, an independent professional’s proposal and a company’s document alike. A platform organizes signing; the content still needs to reflect what the parties actually agreed.

Check who is involved

List everyone who must sign and verify contact details. An incorrect email or phone number can delay the process or send an invitation to the wrong person. When someone signs for an organization, verify their authority within your own procedure.

Choose delivery and authentication channels allowed by the plan. An invitation takes a person to the document; a token helps authenticate access to a channel at signing time. They are separate steps.

Track the document through completion

After sending, check who has signed and what remains pending. Use reminders according to contracted features, avoiding requests to someone who has already finished. SMS and WhatsApp may involve additional consumption; assess channels and volume before setting up your routine.

Once complete, keep the document and associated records organized. Define who can access them and how your operation handles copies and exports under contracted conditions.

The Signature Platform brings sending, tracking and storage together. Compare plans by usage frequency and necessary features, including the Free option.
